The right question isn't "what's the best CRM?" It's "what's the minimum tool stack that lets us do the work we need to do this week?" That answer changes dramatically by stage.

At this stage you have one job: find product-market fit. Every tool that isn't directly helping you build, talk to customers, or understand the problem is a distraction.

Your team's brain. Document everything: user interview notes, product decisions, competitor research, company handbook. The free plan is unlimited for small teams and blocks. Use it as your wiki, project tracker, and CRM until you outgrow it.
Don't pay for Notion until you have 5+ people who need it daily. The free plan handles most early-stage needs.

Don't buy Semrush until you have someone (co-founder, marketing hire, or agency) spending at least 10 hours/week on content. At that level, Semrush pays for itself.

Tools to Avoid at Early Stage
Slack Business+ ($12.50/user/month)
Free Slack is fine until 90 days of message history becomes a real problem. At 5 people with no retention needs, you will not notice the limit. Don't pay until you're a 10+ person team with compliance requirements.
HubSpot paid plans ($800+/month)
HubSpot's free CRM is excellent. The paid plans are for companies with dedicated marketing ops teams running complex automation. A startup with 50 customers paying $800/month for HubSpot is a common and expensive mistake. Use the free CRM until you have a VP of Marketing telling you specifically what HubSpot paid unlocks for them.
Salesforce (any tier)
Salesforce is built for enterprise companies with complex sales processes and dedicated admins. Startups who use Salesforce in the first 2 years typically spend more time configuring it than selling. Use HubSpot CRM free, then HubSpot paid if needed, before ever considering Salesforce.
Figma ($12/editor/month)
If you don't have a designer, don't pay for Figma. Canva handles marketing design. Figma is a product design tool — buy it when you hire a designer or need to collaborate on UI/UX with a dev team.
Expensive AI tools (Jasper, Copy.ai, Writesonic paid)
Claude Pro does everything these tools do at $20/month. Don't pay $50-100/month for a specialized AI writing tool when a general-purpose AI assistant covers the same ground for less.
